Minutes of Meetings  (27th December 2023)

Dr. S.S.Sarnobat , Vice Principal and IQAC Coordinator, welcomed Principal and all IQAC Members for the meeting held in the end of academic semester-I of Academic Year 2023_24  and followed by Sem _II beginning meeting on 27th  December 2023, at 3.00 pm in Board Room at Principal office, D Y Patil College of Engineering, Akurdi, Pune.

● “AI and the Future of Work” was conducted for students of TE and BE(All Branches) by Ms Neelima  Sailaja ,Transitional Asst.Professor,Ms Rachel Jessop,Senior Strategic Project and International Manager,Notigham University

● “Career in Governemnt Sector-and How to pepare for MPSC/UPSC Exam” was conducted for students of TE and BE(All Branches) by Dr Anurag Singh ,IAS Topper Mantra Academy on 10/10/2023

● “ Why should you become IAS/IPS officer” was conducted for all students of All Branches by Ms.Sonal Goel ,IAS Secretary Govt of Tripura.

Dr. S.S.Sarnobat , Vice Principal and IQAC Coordinator, welcomed all IQAC Members for the meeting held in the beginning of academic semester-I of Academic Year 2023_24 on 17th July 2023, at 12.00 pm in Board Room at Principal office, D Y Patil College of Engineering, Akurdi, Pune.

Dr. S.S. Sarnobat Vice Principal and Coordinator of IQAC delivered Presentation on Academic Plan of Semester- I, AY-2023_24 and briefed about the Agenda for the meeting and requested members to give suggestions if any.

·Load Distribution is allotted as per Competency Matrix by Head of Departments and the same is checked and verified by IQAC coordinator

· All departments are insisted to conduct one External Audit by inviting  experts from Tier I institutions

Lecture delivery should be  monitored by Academic coordinators whether planned and actual conduction are matching

3.                    

Attendance Monitoring

 

Students attendance are Monitored, Defaulter list is displayed and notification of absenteeism is sent to Students, Information to Parents is through Whatsapp group

·Hon.Campus Director suggested that LMS should include Attendance console and notifications should be sent to Parents ,Also Parents should be informed about  all activities planned for students

Mentoring System

 

·         Each Faculty member as Teacher Guardian(TG) is allotted with minimum 20 students

·Director sir suggested that All TGs should identify the strengths and weakenesse of their Mentee and accordingly they should be given guidance  

· IQAC Coordinator mentioned that students sessions on Mindfulness Program and credit courses on the same are identified

5.                    

Research and Development

 

All departments plan FDP/STTP/SDP for faculty and Staff every Semester

· One week FDP on IKS is planned. Dr.Shiyekar is coordinating the FDP

· Various FDPs are plnned by IT,EnTC ,RnA and Mechanical Departments

· IT and EnTC departments are planning to conduct IEEE sponsored International Conference in the month of December 2023

· Director sir had mentioned that Campus level RnD team is formed which will be headed by Dr.Mrs.Malathi madam

· Faculty members are encouraged to complete PhD by providing leaves and Faculty members are encouraged to register for MOOC courses

6.                    

Feedback system

Faculty Feedback and feedback on facilities from students  is usually taken

· Director sir suggested to conduct feedback in middle of semester i.e in the month of September in Sem-I and In March in semester – II

· Feedback should be taken through LMS(Collpoll) for both Teaching learning and  on facilities

7.                    

Student Support

Value added courses ,Placement talks are conducted for all years students every semester

·  Industry Representative Mr.Himanshu Jadhav,  CEO , Jendamark India Pvt.Ltd. had suggested that students Mobility programs can be supported

· Director sir suggested to arrange various  sessions of International speakers

 Principal Dr.Mrs.P.Malathi suggested to include Long term and Short term goals of IQAC cell and also insisted to submit infra-structure requirements. Dr.S.S. Sarnobat ,IQAC Coordinator concluded the meeting with vote of thanks.

●        Internal Academic and Administrative audit is done regularly

●ISO certification need to be done to standardize the AAA

●All criteria coordinators and members are working on preparation of SSR

Staff Development Program (Non-Teaching)

 

Currently staff are trained on MS office and documentation

● Domain specific training should be planned by departments

● Staff should be encouraged to undergo MSCIT certification.

  • Academic audit on Subject allocation (Competency matrix) and Load distribution is done at the beginning of the semester
  • Academic audit of course files, department activities were conducted at the end of the semester on ERP(Collpoll).External Audit is conducted by departments

4.                    

Preparation for End Sem Exam Conduction

 

Insem and End semester exams conduction need to be planned as University has done overlapping in SE academics and TE ,BE examinations

 

  • TE,BE In semester exams and SE academics were conducted simultaneously .The exam duties were allocated accordingly to faculty members without hampering SE academics
  • SE End semester exams and TE,BE Semester 2 academics are scheduled by university. Planning for both is prepared  similar to done during Insem exams

5.                    

Review of RnD activities

 

All departments are insisted to plan for FDP/Workshop/STTP/ Conference/Certificate courses/Research Proposals and submit it to RnD coordinator

Emphasizing Teaching Learning Process

 

Student centric Teaching and Learning is assessed

Categorization of students (Active learner, Moderate learner and slow learners)under Students’ quality circles for raising the bar of quality learning

Resume writing should be taught in Second Year

Teacher Guardian mentoring/counseling should reflect on Student’s result improvements

TG scheme training should be given to Faculty members

Phone call to the Parents of absent students should be made for Second year students

An Induction program to newly recruited faculty members needs to be conducted

Appreciation and a Letter of Improvement based on students’ feedback should be issued to Teachers

·IIRS – ISRO announced various courses for students , 211 students completed various courses under it.

·Various workshops and seminars were conducted by departments for students

·Mechanical Department students won second prize in BAJA Award

MINUTES OF MEETING (13TH JUNE 2018)

 Dr. B.S Balapgol, Chairperson of IQAC welcomed the committee members and started the meeting as per the agenda

Planning of Academic Calendar 2018-19, Semester-I 

  1. Dr. Mrs. P. Malathi madam shared that Semester-I (SE, TE & BE) will commence from 18 June 2018  as per the notice from SPPU.
  2. Dr. Mrs. P. Malathi, IQAC Coordinator shared that Academic planner is prepared as per the notice and the copy of the academic planner for Academic year 2018-19 sem-I was circulated to all the members for review.
  3. Honorable campus director Col. S. K. Joshi shared that the academic calendar should be strictly implemented and priority for teaching learning process should be emphasized during the entire semester.
  4. Formation of AQAR committee with the coordination of Dr Mrs Neeta Deshpande should be formed along with all the departmental NAAC coordinators. This Committee will work for the Preparation of AQAR report which is to be submitted to NAAC in October 2018.
  5. The AQAR Committee will produce the draft of AQAR for the approval. The approved report by all the committee members will be send to NAAC office.
  6. As per the guidelines of Dr D K Maheshwari, Chairman, NAAC  Peer Team committee the institute has to strictly follow OBE under the Education Technology Cell (ETC). Dr V A Kulkarni NBA Coordinator is taking over his guidelines under NBA process for the institute.
  7. Dr. Mrs. P. Malathi, IQAC Coordinator and Vice Principal gave detailing about academic process for the academic year 2018 under the guidance of Dr V A Kulkarni as per NBA.

 Meeting Conclusion

The academic calendar was approved by the IQAC members with little changes suggested. 


AY: 2017-18

MINUTES OF MEETING (27TH  APRIL  2018)

  1. B.S Balapgol, Chairperson of IQAC welcomed the committee members and started the meeting as per the agenda
  2. Dr. Mrs. P. Malathi discussed the Academic Calendar for the Sem-I 2018-19 in the meeting, all the members agreed and approved the same.
  3. B.S. Balapgol mentioned that Academic TT for all the departments is ready and monitoring for the same will also be rigorously done by the Academic team of the Institute.
  4. The First Audit of the same is schedule in the first week of June 2018 to check the subject preparation of the teachers before commencement of the Semester.
  5. All the teachers are instructed to prepare laboratory manuals for the students to help them prepare for the practical before entering into the lab for performing experiments.
  6. Barucha appreciated that teachers are completing NPTEL certifications for self-development and such practices are very novel in the education systems. He further mentioned that Skills up gradation of faculty fraternity is the need for today’s generation where students are exposed to several resources for their curriculum.
  7. Members appreciated the initiative of the institute for the faculty to enroll for IITBX –ICT
  8. B.S. Balapgol sir announced about the National Conference is planned by Mechanical Engineering department in month of July 2018.

  3. Dr. B.S. Balapgol Sir shared that Sem-II (SE, TE & BE) will commence from 15/12/2017 as per the notice from SPPU.
  4. Dr. Mrs. P. Malathi, IQAC Coordinator shared that Academic planner is prepared as per the notice and the copy of the academic planner for Academic year 2017-18, sem-I was circulated to all the members for review.

Dr. B.S Balapgol, Chairperson of IQAC welcomed the committee members and started the meeting as per the agenda 

  1. Dr. Malathi shared that Academic Audit was scheduled from 4th October to 9th October 2017.
  2. The Mr. Nighojkar suggested to conduct the academic audit by the external college members to ensure better performance by the faculty
  3. Campus Director Col. S.K. Joshi advised that the second audit can be conducted by the expert faculty members from DYPIEMR, Akurdi, Pune. Further he advised to plan the action for the improvement of the loopholes identified during audit II
  4. Principal shared the preparation of the NAAC visit.

Meeting conclusion: 
All the IQAC members were invited by the Dr. Mrs. P. Malathi for the NAAC visit. 

MINUTES OF MEETING (29TH AUGUST 2017)

Dr. B.S Balapgol, Chairperson of IQAC welcomed the committee members and started the meeting as per the agenda

  1. Dr. Malathi shared that Academic Audit was scheduled from 14th August 2017 to 21st August 2017.
    2. The report of the academic audit from the entire departments was briefed by her.
    3. It was observed by the members that few faculties are not maintaining their course file as per the requirement and suggested that letter of improvement duly signed by Principal and Vice principal should be issued to the respective faculty members.
    4. It was further suggested that the common problems of the department like expert lecture conduction need to be ensured by the head of the respective department and thus letter should be issued to all such HODs.
    5. Col Joshi sir advised that the loopholes in the first audit to be ensured during second audit and the completion of the lacunas to be achieved.
